Project management

How does ControlBoard® organize job documents and job contacts?

ControlBoard gives every job, employee, piece of equipment and company the same set of document folders, set once for the whole company. Add a document type such as contracts, drawings or photos, and every record gets the folder at once. Sensitive folders, such as HR or payroll, can be kept to the people allowed to see them. Each job also has its contacts, each with a role on that job, from your own staff to outside reviewers. Outside contacts can be given portal access to complete their own review steps. Anyone still holding open work on a job stays on it until that work is reassigned.

What you can do with it

  • Organize job documents by type
  • Set the roles people play on a job
  • Give people access to a job, and take it away

Used by: administrators, managers

Common questions

Can I keep HR and payroll documents private in ControlBoard?
Yes. Each document type can be limited to the people allowed to see it, and to jobs, resources or companies. Sensitive folders such as HR or payroll stay out of sight for everyone else, while drawings and contracts stay open to the project team.
Can outside companies take part in RFIs and submittals?
Yes. An outside contact can be added to a job with a role and given a portal link. A portal user can complete a review step when they are its assignee, so the reviewer answers inside ControlBoard instead of in an email chain.
What are job contact roles?
A role says what a person does on a job. Your company keeps its own list of roles and can start from the standard one. People keep their role on a job even if that role later leaves the list, so past records stay accurate.
